The QR code: efficient, space-saving, and officially recommended! Did you know that tax authorities actively recommend storing signature data of the TSS (Technical Security System, German: TSE or Technische Sicherheitseinrichtung) on receipts using a QR code? Since 2020, companies have been required by the Cash Security Ordinance (KassenSichV) to display security-relevant data on receipts. However, instead of using valuable space on the receipt for plaintext data, a QR code allows you to work more efficiently while also speeding up the verification process for tax authorities. Saving time and resources not only sounds good but is also a step toward a more sustainable future.

1. Simplified verification by tax authorities

Tax authorities actively recommend using a QR code to efficiently and securely store TSS signature data. The QR code significantly simplifies audits and inspections by tax authorities, as inspectors can quickly and accurately process the data digitally. Why make the audit process more complicated when it can be so much simpler?

Advantages for audits:

  • Faster verification: The scanning of the QR code enables fast and accurate verification of TSS data without manual reading.
  • Reduced error rate: As the data is read digitally, the risk of reading errors, misunderstandings or manipulations is minimized.

Integrate the QR code now and ensure that future audits for your customers run smoothly and efficiently.

Update 2024: new requirements for receipts

Since January 1, 2024, additional requirements apply to receipts in Germany. Besides the TSS data, the serial number of the electronic recording system and the serial number of the security module must now be displayed on the receipt. The QR code offers an efficient and space-saving way to integrate this information and ensure that your receipts comply fully with the KassenSichV. If you have not yet implemented these updates, we recommend doing so as soon as possible to meet the current legal requirements.

2. Aesthetic benefits for your customers

Even though the space used by receipts may not seem like a major issue at first glance, many consumers appreciate shorter, tidier receipts. A QR code looks modern, reduces the amount of space required, and creates a clean, minimalist receipt. This can enhance the shopping experience for your end customers, as they have less paper to carry around. Another advantage: the focus remains on important information or marketing activities printed on the receipt, rather than the TSS signature. Less is often more—even on receipts!

3. Paper savings and cost reduction

Imagine how much paper your customers use daily for receipts—thousands of transactions can quickly add up. A QR code shortens receipts, saving paper and reducing costs. For all of Germany, it is estimated that using QR codes could save up to 108,000 kilometers of paper per year—enough to circle the Earth almost 2.7 times! (Source: Deutscher Bundestag, Drucksache 19/29085, 28.04.2021; Bundesrat, Drucksache 438/21, 21.05.2021). Less paper also means lower costs for receipt rolls and a significant reduction in waste—a win-win situation. Update your receipts and provide your clients with cost savings while actively contributing to environmental protection.

4. Sustainability and environmental protection

Any measure that reduces the use of thermal paper is a step towards a better future. By switching to QR codes or even fully digital receipts, you can help reduce the impact of thermal paper pollutants. Your company can not only save costs but also significantly reduce its environmental footprint. Show your customers that sustainability matters to you—and take the first step toward more environmentally friendly receipts.
